The Upload File function in PatientNotes allows you to submit a pre-recorded consultation or note from your device (e.g. iPhone, iPad, laptop). This is especially valuable when you're working in environments with no or limited data connectivity, such as rural visits, home consultations, or mobile settings.
This is a Professional Plan feature only.
When to Use This Feature
Use the Upload File option if:
- You’ve already recorded your session using another device.
- You’re in a low-connectivity or offline location.
- You want to upload an entire snippet of audio after the consult.
If you have stable internet connectivity, we recommend using the Record Live option for the smoothest, most integrated experience.
Step-by-Step Guide
1. Open a New Session
Start a new consultation or note as you normally would.
2. Capture Consent
Before uploading, ensure you’ve recorded patient consent. You will see confirmation that consent has been logged.
3. Upload the Audio File
Navigate to the Upload File tab. Drag and drop your file into the upload box or click Choose Audio File to browse.
Supported formats: MP3, WAV, M4A, AAC
Maximum size: 200MB
Once uploaded, your session will automatically populate with the transcribed content and notes.
Alternative: Record Live (if online)
If you do have data access, the Record Live tab allows you to capture audio directly within the platform using your device’s microphone.
Select your microphone input and language setting, then click Record to begin live capture.
Tips for Better Results
- When recording offline, use your device’s voice memo or equivalent app.
- Ensure a quiet environment and place the device close to the speaker.
- Consider renaming the file clearly before uploading (e.g., Simon_20250701.m4a).
Summary
The Upload File feature is ideal for capturing and processing audio when you're offline or working flexibly in the field. It supports a secure, structured workflow even in remote settings. For those with stable data access, the Record Live option is faster and more streamlined.
